This policy explains what KoiSwarm collects, how it is used, and the choices you have. We try to collect as little as we reasonably can, and to be plain about the rest. If anything is unclear, email [email protected].
What we collect
- Account details. Your email address, and basic profile information you choose to give, such as a display name.
- Study material you provide. The lecture slides, PDFs, images and text you upload so the specialists can work. You decide what to share.
- Your interactions. The questions you ask, the answers you give — including audio you record for spoken viva practice — and the results, so your progress and review can work.
- Technical data. Standard information your browser sends, plus basic usage and error logs, used to keep the service running and secure.
How we use it
- To provide the service: producing notes, questions, explanations, reports and spoken examinations, and keeping track of your work.
- To operate, secure, debug and improve KoiSwarm.
- To contact you about early access, important changes and support requests.
We do not sell your personal information, and we do not show third-party advertising.
AI processing of your content
KoiSwarm uses artificial-intelligence models to turn your material into notes, questions, explanations, reports and spoken responses. To do that, the relevant content you submit is processed by trusted third-party AI providers acting on our behalf, and only what is needed for the task is shared. Please do not upload real patient-identifiable information or other sensitive personal data about third parties.
Cookies
Our site uses only the cookies needed to run it and to keep you signed in, plus a small record of your cookie choice. We do not use cookies for cross-site advertising. If we ever add optional analytics, we will ask for your consent first, and you can change your choice at any time from the link in the footer.
Service providers
We rely on established third parties for cloud hosting, databases, storage, email delivery and AI processing. They process data on our instructions and under their own security commitments, and are not authorised to use your content for their own unrelated purposes.
Storage and security
Your data is stored on established cloud infrastructure and protected with reasonable technical and organisational measures. No online service can promise perfect security, but we work to safeguard your information and to limit who can reach it.
Retention
We keep your information while your account is active and for a reasonable period afterwards to meet legal, security and operational needs. You can ask us to delete your account and its data at any time.
Your rights
You can access, correct, export or delete your information, and withdraw consent, by writing to [email protected]. Depending on where you live you may have further rights under applicable data-protection law, and we will honour valid requests as required.
Children
KoiSwarm is intended for university-level students and is not directed to children under 16. We do not knowingly collect personal information from children under 16.
International users
We operate internationally, and your information may be processed in countries other than your own, including by the providers described above.
Changes
We may update this policy as KoiSwarm develops. When changes are material we will update the date above and, where appropriate, tell you directly.
